ARRIVALS AND DEPARTURES

  • Check-in begins at 15:00. If you arrive earlier and your room is ready, we’ll be happy to check you in right away. Otherwise, you’re welcome to store your luggage with us and enjoy exploring the city until your room becomes available.
  • Check-out is by 11:00. Please ensure you and your belongings have vacated the room by this time. Luggage storage can be arranged at reception.
  • Late check-out may incur an additional fee, subject to availability.

IDENTIFICATION

Please ensure you bring a valid photo ID with you for check-in. Accepted forms include a passport, government-issued ID card, or driving licence.

AGE RESTRICTIONS

Bookings cannot be accepted from anyone under the age of 18 unless accompanied by an adult aged 18 or over. Guests travelling with children under 18 must book a private room — dormitory accommodation is not permitted for underage guests.

ROOM ALLOCATION

  • If you’re travelling with friends or family, we’ll do our best to place you in the same room — however, this cannot be guaranteed. To ensure your group stays together, we recommend booking a private room or private dorm.
  • All dormitories are mixed-gender unless a female-only dorm is specifically reserved.
  • If you book half or more of the beds in a shared dorm, we may contact you to book the remaining beds or inform you that your group will be split across multiple dorms. This policy helps maintain a comfortable environment for solo travellers.

LENGTH OF STAY

CoDE is primarily a short-stay accommodation provider, and as such, most of our properties operate a 14-day maximum stay policy. After reaching this limit, a period of six months must pass before a new booking can be made.

PAYMENT POLICY

  • We accept Mastercard, Visa, and American Express for online bookings.
  • Cash payments are not accepted
  • If we are unable to process payment on the provided card, your reservation may be subject to cancellation.

Rate Types:

  • Standard Rates: No deposit is taken at the time of booking. A prepayment of the full amount will be charged 3 days prior to arrival.
  • Non-Refundable Rates: Full payment is charged within 24 hours of booking.
  • Dual Rate Selection: If both Standard and Non-Refundable rates are selected in the same reservation, the most restrictive policy applies — meaning the entire booking will default to the Non-Refundable rate.

CANCELLATION POLICY

Standard Rate
Cancellations made within 3 days of the arrival date — or in the case of a no-show — will incur a charge for the full booking amount.

Non-Refundable Rate
No amendments are permitted. If cancelled, no refund will be issued.

Special Offers and Packages
CoDE Pod Hostels may run promotional offers throughout the year. These may carry unique terms and conditions, so please review them carefully before making a reservation.

GUEST BEHAVIOUR

The comfort, safety, and security of all guests is our top priority. CoDE Pod Hostels reserve the right to refuse entry or remove any guest(s) whose behaviour, in the judgment of our staff, compromises the wellbeing of other guests, staff, or residents. In such cases, no refund will be issued.

Guests are expected to treat fellow guests, staff, residents, and property with respect. Any damage caused by inappropriate behaviour will result in reimbursement charges to cover repair or replacement costs.

NO SMOKING

Smoking is strictly prohibited throughout the hostel premises, except in designated outdoor areas. Any guest found smoking inside the building or outside of these designated zones will be fined to cover associated costs and will be required to leave immediately. No refund will be issued for the stay.

NO DRUGS

The use of illegal drugs is strictly prohibited on the premises. Any guest found in violation of this policy will be required to leave immediately, and no refund will be issued.

ALCOHOL CONSUMPTION

Alcohol will not be served to anyone under the age of 18. Guests are not permitted to bring their own alcohol onto the premises.

PERSONAL PROPERTY

Each pod bed is equipped with a personal locker suitable for small valuables. Guests are responsible for securing their belongings at all times. CoDE accepts no liability for loss, theft, or damage to personal property, regardless of cause or circumstance.

DAMAGE TO OUR PROPERTY

Guests will be expected to reimburse CoDE for any damage caused by inappropriate behaviour during their stay.

LIABILITY

Guests are responsible for any damage caused to CoDE’s property as a result of inappropriate behaviour during their stay. Reimbursement will be required to cover repair or replacement costs.

YOUR INFORMATION

CoDE will store and use the information you provide — or that is provided on your behalf — solely for the purpose of fulfilling our contractual obligations and informing you about services and offers we may make available from time to time. WIFI AND PUBLIC NETWORKS

Please be aware that public Wi-Fi networks carry inherent security risks. While CoDE implements robust measures to safeguard your data within our systems, we cannot guarantee the security of information transmitted over public connections.

Public networks may be vulnerable to unauthorized access, data interception, and other malicious activity that could compromise your privacy. We strongly recommend using secure, password-protected networks and encryption tools such as virtual private networks (VPNs) when accessing our services or transmitting sensitive information.

By using our services over public Wi-Fi, you acknowledge and accept these risks. CoDE disclaims any liability for unauthorized access or data breaches resulting from such usage.

ERRORS AND OMISSIONS

Any omission or error in sales literature, web pages/sites, order form, quotation, price list, order acknowledgement, dispatch note, invoice or other documents issued by us may be corrected by us without liability. We will advise you of any changes at the time of booking or as soon as is reasonably possible thereafter.

DISCRETION

All bookings are subject to availability. CoDE reserves the right to decline any reservation at its sole discretion.

REFUNDS

In the event of Force Majeure — including but not limited to governmental action, transportation disruptions, terrorist incidents, or acts of nature — CoDE is unable to offer refunds. We also reserve the right to collect any outstanding payments related to your confirmed booking.

ACCESSIBILITY

Not all CoDE properties are fully accessible. If you have specific accessibility requirements, please contact our team in advance using the contact form on our website to ensure we can accommodate your needs.

PETS POLICY

Pets are not permitted at CoDE. The only exception is for registered service animals, which are welcome in accordance with applicable laws.

QUIET HOURS

To ensure a restful environment for all guests, quiet hours are observed from 10:00 PM to 7:00 AM. Please be mindful of noise levels during this time, especially in shared spaces.

HOUSEKEEPING

Rooms are cleaned at check-out only. If your group or individual booking requires additional cleaning during your stay, this can be arranged for an additional fee. Please speak to our team for details.

Group Bookings (8 or More Guests)

Any booking of 8 or more guests is considered a group reservation and is subject to the following terms and conditions.

Group Restrictions

Please note that CoDE does not accommodate school groups, hen parties, stag parties, or similar gatherings. These bookings will be declined.

Amendments and Cancellations

  • Amendments are free of charge up to 28 days prior to arrival.
  • If cancelled within 28 days of arrival or in the event of a no-show, the full reservation amount will be charged.
  • If your group arrives a day late without prior notice, your reservation may be cancelled. We will do our best to find alternative accommodation, but it may differ from the original room type and may incur additional charges.

Coach Parking

CoDE does not offer coach parking. Please ensure drivers are informed and have arranged suitable parking prior to arrival.

Room Allocation

Due to building layouts and room types, we cannot guarantee that all group members will be placed on the same floor. However, we will make every effort to keep your group as close together as possible.

Rooming List

A rooming list must be submitted at least 1 week prior to arrival, including:

  • Guest names
  • Room allocations
  • Group leader’s name

Code of Conduct & Damage Deposit

Upon arrival, a group leader must complete a Code of Conduct form. A fully refundable damage deposit of £250 per room is required and will be pre-authorized on a credit card.

Dorm Usage

  • Groups will be allocated to private dorms or rooms only — we do not mix groups with solo travellers in shared dorms.
  • Groups must pay for full occupancy of any dorm they book. If all beds are not reserved, the group may be split across multiple dorms.

Under 18s

  • School groups under 18 are not accepted.
  • Family groups with under 18s must book private dorms. Under 18s are not permitted in shared dorms.
  • We recommend families book full dorms to ensure privacy and comfort.

Arrival & Departure

  • Check-in: From 15:00
  • Check-out: By 11:00. Late check-out will incur a fine.
  • Groups must check in and out together. If this isn’t possible, please inform our group reservations team in advance.
  • Free luggage storage is available before check-in and after check-out. Due to limited space, please notify us in advance if your group requires this service.
  • Reception is open 24/7 to assist with any questions or concerns.

If additional guests arrive beyond the confirmed number, they will be charged the available rate at check-in.

In-House Policies

  • Smoking or vaping inside the building is prohibited by law. Violations will result in fines.
  • Drug use is strictly forbidden. Guests found using drugs will be asked to leave immediately without refund.
  • Guests are responsible for any damage caused during their stay and will be charged accordingly.
  • CoDE cannot accept deliveries of packed lunches or tickets from external providers. If your group requires these services, we can arrange them — just let us know.
  • Guests should have adequate travel insurance. CoDE is not liable for lost or stolen property.

Group Payment Terms

  • A non-refundable deposit of 20% is due within 14 days of booking confirmation.
  • The remaining balance must be paid 28 days prior to arrival.

Group Cancellation Policy

  • All cancellations must be submitted via email to: groups@codehostels.com
  • If cancelled up to 28 days before arrival, the 20% deposit will not be refunded.
  • Amendments are free up to 28 days before arrival. If changes reduce the booking value below the deposit amount, the difference will not be refunded.
  • Cancellations made less than 28 days before arrival will not be refunded, and the full amount will be due.
  • Bookings made within 28 days of arrival are non-refundable and must be paid in full immediately.
  • In the event of Force Majeure (e.g. government action, transport disruption, terrorist attack, acts of nature), CoDE reserves the right to collect any outstanding payments related to your confirmed booking
